PPE replacement: organising a useful tracking process

An item in stock is not automatically ready for its intended task. Connect references, instructions, allocations and reported issues to prepare replacements with the prevention lead.

PPE replacement becomes difficult when information is scattered: a reference on a box, instructions in a folder and an issue reported verbally. Purchasing staff see stock quantities while the team cannot establish which items are available for a task. Shared tracking helps prepare the decision and the replacement request.

This guide suggests a documentary process. Equipment selection and suitability must still be assessed with the prevention lead, using workplace risks and the instructions for the specific model. A spreadsheet cannot certify that an item of PPE provides adequate protection.

Start with the exact reference and its instructions

For each equipment family, record the manufacturer, full reference and available identification details. Descriptions such as “blue gloves” or “white helmet” do not identify the correct instructions. Add the location of the corresponding instructions and documentation.

The INRS guidance on personal protective equipment highlights the importance of manufacturers’ instructions for maintenance, storage and limits of use. Treat it as a French technical reference; this article does not present its legal provisions as Tunisian requirements.

Keep useful details without inferring performance from appearance. Verify conformity using the markings and instructions for the specific model. Vetiwork’s guides to head protection and hand protection can support the discussion, followed by verification of the actual reference under consideration.

Build a record the team can maintain

A useful record links an item to its allocation, location and documentation status. Select fields that an identified person can maintain. For individually tracked items, use a distinct identifier. Where batch management suits the organisation, retain the batch reference and its movements.

Suggested fieldInternal purpose
Reference and instructionsLocate the correct guidance
Allocation or locationIdentify the team concerned
Report date and reasonExplain why a decision is required
Status and person responsiblePrevent an unresolved request
Decision and replacement referenceKeep a record of the outcome

This is a suggested internal tracking template, not a universal statutory register. Make it available to the relevant people without exposing unnecessary personal data. A small set of maintained fields is more useful than a detailed inventory abandoned shortly after creation.

Define a clear route for reported issues

Specify how a user reports a concern, who receives it and how the item is identified while awaiting a decision. Tracking should distinguish “in stock”, “allocated”, “awaiting examination” and “withdrawn”. These are example labels to adapt, not technical conclusions about an item.

Prevent reported equipment from accidentally returning to available stock. Retain the date, reason and role responsible for follow-up. A photograph can document a visible defect, but cannot by itself authorise return to service or assess protection that has become uncertain.

Examination arrangements, relevant dates and replacement decisions follow the instructions and requirements applicable to the case. This article gives no general service life for all helmets, gloves or spectacles. A theoretical future date is not a reason to leave a concern about an item’s condition unexamined.

Turn tracking information into a clear purchase requirement

Before requesting replacement, establish whether the task, working conditions or other equipment worn together have changed. Automatically reordering the same reference can overlook an evolving requirement. Ask the competent person to define the expected characteristics and points to confirm with the supplier.

The purchasing brief can include the protection family, intended use, current references, quantities by size and documentation requested. Separate the approved requirement from details still awaiting verification. Missing stock does not justify substitution on its own: suitability for the task must be assessed.

In Tunisia, the ISST is an institutional resource for prevention information and assistance. Requirements specific to your activity and the applicable legislation require separate verification. This content announces no new legal obligation or mandatory inspection timetable.

Review open issues and prepare the quotation request

Bring the relevant people together to review open reports, missing information and agreed replacements. Choose a frequency suited to the site’s operation with the prevention lead. Record decisions and appoint someone to follow outstanding requests. An alert without an owner does not resolve a shortage.

Vetiwork distributes PPE; it does not manufacture, certify or test these products. Explore the protective equipment range, then send the approved requirements through a quotation request. References, documentation and workplace constraints support an assessment without assuming availability or unverified performance.

Frequently asked questions

Can a table set replacement dates for every type of PPE?
No. Model instructions, condition, use and applicable requirements must be assessed by competent people.
Is a photograph enough to approve an item?
It may document a visible defect. It does not establish the model’s conformity or suitability for workplace protection.
Does Vetiwork manufacture the PPE shown?
Vetiwork distributes PPE. Its manufacturing and personalisation of workwear is a separate activity.
